From Bottlenecks to Breakthroughs: Transforming Accounting Operations at Goodwill of Southern Nevada
Overview
Goodwill of Southern Nevada, a nonprofit dedicated to reducing poverty by empowering individuals with barriers to employment, first partnered with Fourlane in 2018 for a file repair and condense project following data corruption. The Fourlane team successfully delivered the solution over a single weekend.
The Challenge
In 2024, Goodwill once again turned to Fourlane—this time facing significant operational disruptions after upgrading to QuickBooks Enterprise 2024. The finance team encountered critical system failures, including:
- Only one of four bank accounts appearing in the bank feeds
- A blank, uneditable financial institution field
- Unexpected defaulting to single-user mode, despite being set for multi-user access
- Check printing errors, including incorrect numbering
Upon further investigation, Fourlane identified several structural issues within Goodwill’s QuickBooks file, which had grown to 2.5–3 GB:
- Frequent system crashes and slow performance were disrupting audits and reporting cycles
- The file, in use since 2014, had been previously corrupted during a crash in 2015–2016
- The system had been out of balance since 2019, further compounding the risks
The Solution
Diagnosis & Repair
Fourlane initiated a full technical review, working closely with Goodwill’s finance team to:
- Test bank feed connectivity
- Create backup files to explore account merging and data integrity
- Evaluate sync behavior and user mode conflicts
To resolve immediate challenges and improve performance, Fourlane implemented a repair and condense strategy to reduce file size while preserving essential audit data. Key services included:
- Ongoing bank feed troubleshooting
- After-hours backup creation and safe account merging
- Recommendations for long-term file architecture improvements
ERP Evaluation & Transition Planning
While addressing short-term technical fixes, it became clear that QuickBooks could no longer support Goodwill’s increasingly complex operational needs. Fourlane guided Goodwill through an ERP evaluation and RFP process, leading to the selection of Acumatica based on its:
- Cloud-based flexibility
- Advanced financial reporting, depreciation, and grant tracking capabilities
- Seamless integration with key systems like Paycom (payroll), Counterpoint (POS), Microsoft Outlook, and Power BI
With a target go-live in the upcoming fiscal year and plans to run Acumatica parallel to QuickBooks during the transition, Fourlane created a phased roadmap that included:
- Data migration and cleanup
- User training and adoption planning
- Ongoing support and system integration
