How Intuit Enterprise Suite Solved a Two-Entity Operation Cleanup Against a Court Deadline
The Situation
An agriculture farming operations company came to Fourlane with a problem their tools and timeline could no longer contain.
Two legally separate farming entities – with two different EINs – were being tracked inside a single QuickBooks Online Plus file. Bank accounts had been connected, but almost nothing else had been done. There was no meaningful transaction history entered for 2024 or 2025, no reconciliations, and no reliable prior-year foundation to build on. The previous CPA’s 2023 trial balances turned out to be wrong, which meant even the starting point was suspect.
Complicating matters further:
- Intercompany activity was constant and undocumented. Loans and equipment rent flowed between the partnership and the owner’s individual operation, tracked manually outside the accounting system.
- A single line of credit was shared across three entities, making it nearly impossible to attribute activity cleanly.
- The bank could only produce three months of downloadable history and issued statements on a mid-month cutoff rather than month-end – so most of 2024 would have to be entered from scanned paper.
- Payments were made largely by check, often to individuals, with no 1099 tracking and no payee detail in the feed.
And there was a hard stop. The owner faced a court-mandated filing deadline. Getting the books caught up was not a matter of better reporting – it was a legal necessity.
Choosing the Right Platform
Fourlane’s initial recommendation was to move off QuickBooks Online Plus to Intuit Enterprise Suite (IES). The two entities needed separation, but the owner also needed a combined view for tax purposes.
The company pushed back – reasonably. They felt they needed bookkeeping for tax compliance, not sophisticated, consolidated reporting, and they questioned whether Intuit Enterprise Suite was overbuilt for the job.
Rather than argue the point, Fourlane demoed it. They showed consolidated reporting pulling both companies into a single real-time P&L and balance sheet, eliminating the external spreadsheet reconciliation that the company had been maintaining by hand, and showed how intercompany eliminations would handle the loan and equipment-rent activity automatically.
The decision was made on demonstrated value, not on a sales pitch.
Working Around the Data, Not Waiting for It
The bank was the bottleneck. The bank could not deliver clean historical statements, could not export into QuickBooks, and cut statements mid-month. One account had been closed entirely, with only paper records remaining.
Fourlane did not let that stall the project:
- The company scanned and uploaded what they could, then shipped physical statements overnight for the rest, including check copies with payee detail.
- Fourlane deployed PDF-to-import conversion tooling to get scanned statements into the system rather than keying them line by line.
- Ambiguous transactions were parked in temporary “uncategorized income” and “uncategorized expense” buckets and returned to the company as spreadsheets, so cleanup could continue in parallel with implementation.
- Repetitive activity was handled with bank rules – including split rules for loan principal and interest – so the same decision never had to be made twice.
“I can’t say enough how great working with Fourlane has been. I would probably still be on my living room floor sorting statements and crying/screaming had Fourlane not taken this on to get it caught up.”
The Results
Both years rebuilt and reconciled against the deadline. 2024 was reviewed end to end for both entities – intercompany accounts balanced, loans and lines of credit reconciled, prior-year figures entered to establish correct opening balances. 2025 was imported and reconciled in parallel. The filing deadline was met.
A prior-year error caught before it compounded. The previous CPA’s 2023 trial balances were incorrect. Because Fourlane rebuilt from source documents rather than trusting the existing file, the discrepancy surfaced during the engagement instead of after a filing.
Consolidated reporting replaced manual spreadsheets. Intercompany loans and equipment rent between the entities now flow through IES eliminations, producing a combined P&L and balance sheet on demand – work the bookkeeper had previously done by hand every reporting cycle.
A structural banking problem identified. Fourlane’s reconstruction exposed the shared line of credit spanning three entities and the commingling of personal and business activity in a farm account – issues that carried real audit exposure and that the company is now positioned to fix with the bank.
Cleaner 1099 compliance. Check payments to individuals were segregated into a reimbursements category during cleanup, giving the company a defensible basis for 1099 reporting where none had existed.
The client’s bookkeeper became self-sufficient. Fourlane provided training on custom reports, transaction drill-down, bank rule creation and maintenance, the QuickBooks Accountant Books Review workflow, reclassification tools, and closing out the inactive bank account. The company now runs ongoing bookkeeping independently, escalating to Fourlane only where it makes sense.
Why It Worked
The hard conversations happened early. Cost, scope, and division of labor were on the table before the work started – and when changes occurred, a plan was built that both sides understood.
Recommendations were demonstrated, not asserted. The company questioned the software recommendation. Fourlane answered with a live demo of the specific problem it solved, plus honest pricing and a path forward.
Constraints got engineered around. Bad bank data, mid-month cutoffs, and paper-only records are common in this kind of engagement. Tooling, temporary categorization buckets, and parallel workstreams kept the project moving.
The company left more capable than they arrived. The deliverable was clean books. The lasting outcome was a bookkeeper who could maintain them.
