Scaling a Multi-Entity E-Commerce Business onto Intuit Enterprise Suite

JASE Enterprises Inc. needed an accounting system that could support a growing portfolio of separately reportable businesses without sacrificing consolidated financial visibility. With a new acquisition ready to launch, Fourlane helped the company use a sandbox-first approach in Intuit Enterprise Suite (IES) to design, test, and train on the new structure before moving it into the live environment.

Background

JASE Enterprises Inc. is a multi-channel e-commerce company operating under its parent umbrella, HSM. The company built its foundation in a high-risk product category, selling smoking and vape accessories across marketplaces including Amazon, Walmart, and TikTok Shop.

As regulations tightened around its core category, JASE began deliberately diversifying into lower-risk, general-merchandise businesses that could operate under the HSM umbrella as separate, cleanly reportable entities.

The company had run its core business on QuickBooks Desktop for more than 30 years. At the same time it was evaluating a move to the cloud, JASE acquired Coterie Party Supplies LLC, a business with approximately 200 to 300 SKUs and no existing accounting infrastructure of its own.

Coterie represented an important step in JASE’s diversification strategy. That made it critical to establish the right financial structure from day one rather than trying to retrofit the accounting system later.

JASE Enterprises brought in Fourlane to design and implement the accounting structure for both the existing parent company and the new Coterie entity.

The Challenge

  • Entity structure: JASE Enterprises needed each acquisition to have its own EIN and QuickBooks file while rolling up to the parent company, HSM. Leadership also needed a consolidated view of overall financial performance.
  • Platform-level profitability: The company wanted to see income and costs by sales channel, including Amazon, Walmart, TikTok Shop, and other marketplaces, so it could understand which platforms were actually profitable.
  • Inventory and COGS accuracy: The bookkeeping team historically used journal entries to record marketplace settlement statements. While the entries matched bank deposits, expenses frequently appeared as “unspecified” in reports by customer or class, limiting visibility into channel profitability.
  • Tool fatigue: The bookkeeping team had experienced problems with third-party inventory integrations in QuickBooks Desktop and wanted to avoid introducing another fragile integration if the reporting problem could be solved within the accounting platform.
  • Operational friction: Access issues involving sandbox invitations, QuickBooks user invitations, and browser changes repeatedly interrupted scheduled work and slowed progress.

The Solution

Fourlane recommended Intuit Enterprise Suite and designed the implementation around several core decisions that would support JASE’s multi-entity growth strategy.

Parent and Child Entity Structure

HSM was configured as the parent company, with Coterie added as a child entity. This gave JASE Enterprises an entity switcher for day-to-day work while providing a consolidated roll-up view across the businesses.

Shared Chart of Accounts

Rather than maintaining a completely separate chart of accounts for each entity, Fourlane recommended a shared chart of accounts managed centrally. The structure could later be separated if individual entities required more independent management.

Dimensions for More Flexible Reporting

For platform-level tracking, Fourlane introduced IES dimensions as a more flexible alternative to relying exclusively on classes. Multiple dimensions can be associated with the same line item, allowing JASE to track sales channels alongside other reporting attributes.

Customers as Sales Channels

Instead of creating a class for every marketplace, Fourlane recommended modeling platforms such as Amazon and Target as customers. This structure gives JASE access to customer-level reporting without unnecessarily expanding its chart of accounts.

Sales Receipts Instead of Blanket Journal Entries

To address the “unspecified” expense problem, Fourlane proposed replacing blanket journal entries with sales receipts posted to undeposited funds.

The process is similar to JASE Enterprises’ existing clearing-house approach, but income and expense items are included within each sales receipt so both sides of the transaction can flow through the profit and loss statement by customer.

A Sandbox-First IES Rollout

Rather than configuring the live environment and correcting problems afterward, Fourlane and JASE designed and tested the complete setup in an IES sandbox.

The sandbox was used to work through the chart of accounts, dimensions, classes, accounts receivable workflow, templates, bank feeds, and user configuration before the final setup was mirrored into JASE Enterprises’ live IES environment.

“Intuit Enterprise Suite doesn’t fully delete accounts once they’re created, so the sandbox let us tailor everything without fear of making a mistake we couldn’t undo. It gave us a real training and design space to get the final product right before we ever touched the live file.”

The Results

  • A working entity hierarchy: HSM is established as the parent, with Coterie provisioned as a child entity. JASE can use an entity switcher for daily navigation while maintaining a consolidated financial view.
  • A clear chart-of-accounts plan: Instead of duplicating dozens of accounts, Coterie’s chart of accounts is being rationalized and centrally shared, with Coterie-specific accounts identified during cleanup.
  • A path to platform-level profitability: Moving from journal entries to sales receipts, combined with dimensions and customer-based tagging, gives JASE a way to analyze income and expenses by marketplace rather than having activity appear as “unspecified.”
  • Reduced integration risk: Rather than immediately adding another third-party inventory application, the team chose to rely on native IES capabilities while deferring more advanced inventory automation.
  • A repeatable acquisition framework: The sandbox-first, design-then-mirror approach gives JASE Enterprises a process it can reuse as future businesses are added under the HSM umbrella.
